POSITION SUMMARY
The Donations Associate serves as the primary coordinator of donated goods and in-kind contributions for Providence House. This position is responsible for receiving, organizing, inventorying, and distributing donations while providing excellent customer service to donors, volunteers, residents, and community partners.
The Donations Associate ensures donation areas remain organized, welcoming, and operational while helping connect families with essential resources that support their journey toward stability and independence. Through effective inventory management, donor engagement, and operational support, this role directly contributes to resident services, community engagement, and the overall mission of Providence House.

KEY RESPONSIBILITIES
Donations Management & Inventory Control
- Receive, sort, inspect, and organize donated items according to agency procedures.
- Maintain organized donation storage areas, supply rooms, and distribution spaces.
- Track inventory levels and communicate supply needs or shortages to leadership.
- Ensure donated items are properly categorized and accessible for resident needs.
- Assist with donation drives, special collections, and seasonal distribution efforts.
- Monitor donation quality and ensure items meet agency standards before distribution.
Donor Relations & Customer Service
- Provide exceptional customer service to donors, volunteers, residents, staff, and visitors.
- Greet donors and assist with unloading and processing donated items.
- Issue donation receipts accurately and maintain appropriate documentation.
- Serve as a positive representative of Providence House when interacting with community members and supporters.
- Assist in cultivating a welcoming and appreciative donor experience.
Resident Support & Distribution
- Assist residents with accessing donated items and household essentials.
- Support the distribution of clothing, hygiene products, household goods, and other donated resources.
- Maintain fairness, organization, and accountability during donation distribution activities.
- Help ensure resident needs are met while maintaining inventory controls and agency procedures.
Operational Support & Facility Organization
- Maintain cleanliness and organization of donation areas, storage spaces, and surrounding work areas.
- Assist with moving, lifting, transporting, and arranging donated items as needed.
- Support agency events, donation drives, and community outreach activities when assigned.
- Assist with additional operational duties that support daily agency functions.
Safety, Compliance & Accountability
- Follow all agency policies regarding donation handling, inventory management, and safety procedures.
- Utilize proper lifting techniques and equipment when moving donated items.
- Maintain a safe, organized, and hazard-free work environment.
- Protect donor, resident, and organizational confidentiality.
- Maintain accurate records and documentation related to donations and inventory.
Team Collaboration & Communication
- Communicate regularly with supervisors regarding inventory levels, donation trends, and operational needs.
- Collaborate with staff across departments to ensure resident needs are met efficiently.
- Maintain a professional, positive, and team-oriented attitude.
- Remain flexible and willing to assist with agency priorities as needed.
- Support the mission and values of Providence House through daily interactions and service.
Compensation: $14.00 per hour
