The Campus Administrator at Patria Church oversees the development, implementation, and ongoing assessment of campus procedures. This full time role provides comprehensive administrative leadership, system development, and execution oversight that strengthens campus health and sustainability. This position oversees the development, implementation, and ongoing refinement of campus procedures to ensure operational excellence. The Campus Administrator builds scalable systems that support ministry growth, volunteer engagement, and campus alignment. This role ensures daily operations function with clarity, structure, and accountability. The Campus Administrator plays a strategic role in translating campus vision into executable systems. This includes budget coordination, documentation oversight, volunteer tracking, event administration, and service readiness support. This individual anticipates needs, removes administrative friction, and executes tasks to completion with timeliness and integrity. This role requires maturity, strong judgment, and the ability to operate independently while maintaining alignment with the Campus Pastor and Executive Leadership. The Campus Administrator reports directly to the Campus Pastor.



Work Schedule and Daily Rhythm
The Campus Administrator works a full time rhythm that combines weekday operational leadership with consistent weekend service presence. Early week focuses on post service follow up, financial reconciliation, documentation updates, and leadership alignment. Midweek centers on system development, volunteer coordination, scheduling oversight, and event preparation. End of week prioritizes campus readiness, service materials preparation, final confirmations, and communication distribution. Weekend presence is required to support service execution, campus flow, and real time operational needs. Flexibility is required during special services, conferences, seasonal ministry pushes, and campus growth initiatives.

 Operational Systems and Campus Infrastructure: 
  • Develop and refine campus procedures that create clarity, accountability, and repeatable execution. 
  • Oversee daily administrative operations supporting all campus ministries and programs. 
  • Build scalable systems that support current ministry needs and future campus growth. 
  • Identify operational gaps and implement practical solutions that increase efficiency and long term sustainability. 
  • Ensure campus operations align with Patria Church policies, strategic objectives, and leadership direction. 

 Financial Stewardship and Compliance Oversight:
  •  Manage campus budget tracking, expenditures, and requisition processes with accuracy and timeliness. 
  •  Submit check requests and purchasing documentation according to established finance procedures. 
  •  Monitor budget allocations and provide visibility to the Campus Pastor. 
  •  Maintain organized financial documentation and support responsible resource stewardship. 
  •  Ensure campus administrative compliance with organizational standards and documentation practices. 

Scheduling, Communication, and Records Management:
  • Serve as a primary administrative point of contact for congregants, visitors, vendors, and external partners.
  • Maintain accurate volunteer records, attendance documentation, and service related reporting using approved systems. 
  • Oversee campus calendar management to prevent scheduling conflicts and protect ministry alignment.
  • Draft and distribute internal campus communications that provide clarity and direction. 
  • Ensure messages, emails, and inquiries receive timely and professional responses. 

Service and Event Execution Support:
  • Serve as a primary administrative point of contact for congregants, visitors, vendors, and external partners.
  • Support planning and coordination of weekend services, special services, outreach initiatives, and campus events. 
  • Prepare campus materials including forms, printed resources, and administrative documentation. 
  • Assist in maintaining service readiness through organized logistics and clear communication. 
  • Provide post event follow through including reporting, documentation updates, and reconciliation processes. 
  • Maintain calm and steady leadership presence during live campus moments. 

Leadership and Volunteer Support:
  • Serve as a primary administrative point of contact for congregants, visitors, vendors, and external partners.
  • Demonstrate stewardship and ownership by anticipating needs, protecting resources, and executing responsibilities with integrity. 
  • Promote teamwork across departments by communicating proactively and closing loops within established timelines. 
  • Strengthen volunteer culture by maintaining clear systems, consistent communication, and administrative accountability.

General Requirements 
  •  Must successfully pass all required pre employment screenings, including background checks, Live Scan clearance, and drug or physical screening.
  •  Reads, writes, spells, and communicates clearly in English. 
  •  Demonstrates basic computer proficiency and the ability to use communication, scheduling, and internal systems required for daily operations. 
  •  Communicates clearly, professionally, and respectfully with staff, volunteers, congregants, and supervisors. 
  •  Works effectively under limited supervision, demonstrating initiative and follow through. 
  •  Maintains confidentiality, discretion, and integrity in all responsibilities. 
  •  Represents Patria Church’s mission, values, and Christ centered culture through professionalism, teamwork, and conduct. 
  • Complete California Mandated Reporter certification within ninety (90) days of hire and maintain compliance as required by law. 
  •  Member of Patria Church or complete Growth Track within ninety (90) days of hire if not currently a member. 
  • Completes all required onboarding, safety, and role-specific training within established timeframes, including security, compliance, or emergency procedures as assigned.

Education, Training, and Experience
  • Associate’s degree or higher in administration, business, organizational leadership, or a related field preferred.
  • Demonstrated experience supporting operational systems, administrative workflows, or campus-based environments.
  • Experience coordinating schedules, documentation, and operational processes across multiple stakeholders or departments.
  • Prior experience supporting ministry, nonprofit, education, or service-based organizations preferred.
  • Familiarity with budget tracking, requisitions, or expense monitoring within an organizational setting.
  • Exposure to scheduling coordination, meeting preparation, or leadership support functions is beneficial. 
  • Hands-on experience maintaining organized systems, tracking documentation, or supporting structured workflows is valued. 
  • Experience supporting events, services, or programs that require coordination before, during, and after execution.

Organizational and Spiritual Requirements
  • Always demonstrate Christ-centered behavior by treating people with dignity, respect, compassion, and integrity.
  • Member of the Patria Church (or willing to transfer membership to Patria Church).
  • Pastors are required to attend all regularly scheduled Sunday and Wednesday church services. Support staff must attend at least one (1) regularly scheduled weekend church service. 
  • Attendance at all mandatory meetings and events. This includes serving at Good Friday, Easter, and Christmas services as well as the annual volunteer appreciation event.
  • Regular involvement in Patria Church activities, ministries, neighborhood groups, and events.
  • Tithe 10% to the Patria Church.
  • Demonstrate full alignment with Patria Church’s Statement of Faith and core beliefs as outlined in the Employee Handbook, on the official website, and through consistent practice in ministry, leadership, and daily life.

Physical Requirements

This role may occasionally require light physical activity such as preparing rooms, moving office supplies, transporting materials, or assisting with basic event-related setups. Sufficient vision, hearing, and mobility are required to communicate effectively, maintain awareness of surroundings, and complete assigned responsibilities safely.
