Job Title: Customer Service Agent
Reports To: General Manager – Commercial Property
Schedule: Full-Time 

 
Position Overview 

The Customer Service Agent at Vintage Realty Company serves as the primary liaison between tenants, property management, and vendors in a commercial property setting. This role ensures tenant satisfaction by handling communications, coordinating maintenance, overseeing compliance, and providing administrative support. The ideal candidate is professional, detail-oriented, and committed to delivering excellent customer service within a fast-paced commercial property management environment. 

 

Key Responsibilities 

Tenant Communication 

  • Serve as the primary point of contact for tenants via phone and email.
  • Respond to general inquiries, service requests, and concerns in a timely and professional manner.

Maintenance Coordination
 
  • Receive and assign maintenance requests to appropriate personnel or vendors.
  • Follow up to ensure timely resolution and tenant satisfaction.
  • Vendor application screening.

Insurance Compliance
 
  • Collect and track certificates of insurance from tenants.
  • Maintain accurate records and follow up on missing or expired documentation.

Administrative Support
 
  • Draft and distribute tenant notices, memos, and announcements as needed.
  • Assist with the preparation and posting of building-wide communications.
  • Maintain organization of the filing room and the employee breakroom.
  • Maintain the organization of the key closet.

  • Communication: Strong verbal and written skills, with the ability to draft clear and professional notices.
  • Adaptability: Comfortable managing multiple tasks and priorities in a fast-paced environment.

 Qualifications
 
  • Previous experience in customer service, administrative support, or commercial property management preferred.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar software.
  • Detail-oriented with excellent follow-up and record-keeping skills.
  • Professional demeanor with a focus on tenant satisfaction.
