The Receptionist handles a variety of administrative support tasks, including answering phones, receiving visitors,
etc. This role serves as the face to our guests at The Chef’s Garden, making them feel welcomed.
Essential Duties and Responsibilities
- Answer all incoming calls between 8:00 a.m. and 5:00 p.m. for The Chef’s Garden in a courteous and professional manner; take accurate messages and transfer calls to appropriate team member/department
- Be attentive and promptly greet guests and visitors that arrive at the Farmhouse and direct them to the appropriate team members. For applicants, have them fill out an application and forward the completed application to the HR Manager. For visitors, follow check in procedures and ensure the consent/release form is completed and signed.
- Take employee photos and create new hire and employee badges.
- Maintain internal phone directory.
- Ensure that birthday and anniversary cards are given to team members timely.
- Receive, sort, and distribute incoming mail and packages
- Assemble new hire folders for Human Resources which includes copies of various Chef’s Garden policies and procedures as well as other required forms and benefit packets as necessary to be completed at time of hire.
- Assist with clerical needs from other areas of the Farm as directed by HR Manager.
- Order & maintain; maintain all office supplies needed in the Farmhouse
- Maintain cleanliness of front office and Farmhouse conference room
- Check and test the AED’s and Fire Extinguishers in Garden Gate and the Farmhouse on the 1st of each month.
- Any other duties as assigned
- Communication Skills: Clear verbal and written communication is essential, our receptionist is often act as the first point of contact for customers, employees, and visitors.
- Customer Service: A friendly, approachable demeanor and a focus on providing excellent service are critical. Our receptionist needs to handle inquiries, resolve issues, and assist people with professionalism and courtesy.
- Organizational Skills: Time management and multitasking are important.
- Computer Skills: Basic knowledge of office software (e.g., Microsoft Office Suite, email) and familiarity with office equipment like printers, copiers, and phone systems.
- Attention to Detail: Ensuring that schedules, records, and documents are accurate and up to date is important.
- Problem-Solving Skills: Addresses customer concerns, redirects inquiries, and manages unforeseen situations calmly and effectively.
