Inventory Specialist Job Summary:
The inventory specialist is responsible for gathering, analyzing, and interpreting relevant financial data and optimizing financial controls and procedures. As an inventory specialist, he/she will also be responsible for maintaining the organization’s inventory, tracking inventory/supplies going in and out of the company and maintaining accurate records of all procurements.
Responsibilities and Duties:
• Codes invoices, sets up new accounts, reconciles accounts and closes the monthly books.
• Reconciles customer accounts and manages accounts receivable collections.
• Verifies payment of invoices associated with accounts payable and ensures payments are charged to the appropriate accounts.
• Maintains consistent stock of inventory, ensuring proper stock rotation, facilitating the ordering of new stock up to pre-authorized limit as inventory dwindles.
• Works with maintenance in receiving incoming materials, supplies, and equipment; compare information on packing slip to verify accuracy noting any corrections; record discrepancies or damages in shipment and notify supervisor.
• Manages and maintains inventory system; facilitates upgrades to related database and/or software under the direction of the Finance Director/Manager.
• Examines the levels of materials and supplies to determine shortages and efficient ways to curb wastage.
• Create detailed reports for adjustments, inventory operations and stock levels.
• Direct contact with AP specialist to understand product availability, assortment levels and variety to guarantee a proper flow of inventory in the supply chain.
• Conducts frequent spot and partial audits of physical inventory and supplies.
• Create reports from sales trends based on seasonality and inventory on hands to analyze them and create PO’s based on data.
• Communicates to Finance manager and identifies when inventory is empty, address quality issues with the merchandise and determines the most efficient way to shelve incoming goods.
• Adherence to accuracy of data entry, quality of coding, providing detailed information where applicable.
• Maintains appropriate records and reports to guarantee inventory control and security.
• Performs month-end duties and meet other accounting calendar deadlines on a monthly basis.
• Performs other accounting & finance duties as assigned by the supervisor.
Inventory Specialist Qualifications and Skills:
• High school diploma or equivalent required.
• 1-year previous supply experience, 2-3 years of professional work experience, or a 2-year degree required.
• Ability to understand and execute verbal instructions.
• Ability to adapt, prioritize, meet deadlines, and organize efficiently.
• Effective written and verbal communication skills.
• Proficient in Microsoft Office Word and Excel; very good with spreadsheets.
Physical requirements:
• Prolonged periods sitting at a desk and working on a computer.
• The employee is frequently required to walk; use hands and fingers, handle, or feel; and reach forward with hands and arms.
• The employee is occasionally required to sit and stoop, kneel, or crouch.
• Must be able to lift up to 15 pounds at times.
• Administrative work in an office 85% of the time. The remaining 15% requires walking to the warehouse double checking products and quantities. (This is not a warehouse inventory or "on the floor" retail/sales inventory).

Compensation: $25.37 - $32.00 per hour
