Supports the daily operational activities of the Finance and Accounting Department through a variety of general accounting tasks and by assisting with the monthly and annual closing process as well as daily operations.
Responsibilities
- Process and record weekly deposits from membership, Landscape Architecture Magazine (LAM), conference, and any other source.
- Prepares monthly billing and accounts receivable statements for all ASLA activities including LAM and accreditation.
- Perform accounts receivable collection activities, including follow-up letters and calls to delinquent accounts.
- Manage the accounts receivable aging, including processing account adjustments (credit/debit memos) and balance write-offs.
- Processes and records all cash transactions daily; makes journal entries for processed checks, credit card items processed by the accounting department, and other bank activities.
- Supports AP processes including customer-vendor relations and all approved check disbursements, 1099, and tax-related matters; reviews (coding and approvals), records and processes invoices for timely payment and generates and reviews AP reports.
- Supports the Controller to manage accounting functions including maintenance of general ledger, accounts payable, accounts receivable, monthly financial close, and annual audit.
- Provides accounting assistance to project managers and operations staff; responds to financial questions/concerns to meet business needs.
- Supports the membership team in the administration and processing of monthly dues payments in ASLA databases and ensures accurate integration across membership and financial systems.
- Resolves issues/discrepancies and performs other duties as assigned.
Qualifications
- BA degree or equivalent combination of education and experience. Preferred degree in Business Administration, Accounting, Finance or related field.
- Two years minimum experience in accounting. Non-profit or association experience preferred.
- Working knowledge of basic accounting principles and practices.
- Working knowledge of billing and collections best practices.
- Proficient knowledge of financial and accounting systems. Sage Intacct and Bill.com experience is preferred.
- Proficiency with Microsoft Office computer applications (intermediate Excel skills).
- Excellent written and oral communication skills
- Excellent organizational and planning skills to balance and prioritize work, good judgment, and attention to detail.
- Ability to balance heavy workload with short- and long-term project deadlines, address changing priorities, and work well under pressure.
- Strong analytical and problem-solving skills.
This is a non-exempt position.
